BRIDGEWATER COLLEGE CATERING POLICIES

ROOM SET UP, A/V AND IT NEEDS

If you require any room layout or design, tables or chairs, screens, Power Point, DVD, please contact the Campus Events Coordinator, so that a work order can be generated in a timely manner. You must confirm your reservation through Campus Events before your catering can be finalized. Parkhurst is not responsible for room, table, or chair setup.

CATERING DEPARTMENT

The catering office is open to accept orders Monday through Friday from 8:00 am to 4:00 pm. When arranging for catered services, we ask that you plan as far in advance as possible. Please book your catering event through the following site: https://bridgewaterdining.catertrax.com. It is preferred that guests contact our Catering Department at least two weeks prior to the event. Even if you do not know the final number of guests, this gives us enough time to create and plan the best event for you. A 15% late fee is charged for any function booked less than 72 hours prior to the event. We reserve the right to refuse service for less than 72 hours’ notice. FINAL GUARANTEES, CANCELLATION FEES, & INCLEMENT WEATHER

At the time of booking, you will be able to see your full order on CaterTrax. You may edit or request changes at almost any time. We ask that you review this event sheet to ensure all information is correct before submitting. Once submitted, your order will be sent to the Director of Catering for final approval. Any estimated attendance count that you give us should be as accurate as possible. The Catering Department will plan, purchase, and bill for all the guests that you indicate will attend. A final guarantee number must be given to the Dining Services Catering office no later than 72 hours (3 business days) prior to the event (Wednesday in the case of a Monday event). If no final count is provided, we will prepare and charge for the original number of guests. Cancellations up to four (4) days prior to the event are without charge. Three days, or less, prior to the day of the event, the charge will be 50% of the cost of the event. Same day cancellations will result in a full charge of the entire event. In case of inclement weather, please discuss a secondary plan to ensure the success of your event. Late charges apply, unless previously discussed. Parkhurst has the right to refuse service if weather is a potential threat to staff members.

SERVICE CHARGES

Most meals include the price of the meal, delivery, setup, and cleanup. If an attendant is requested/required for an event the following charges will apply:

  • Server/Attendant - $35.00 per hour (2-hour minimum)
  • Chef – $40.00 per hour (2-hour minimum)
  • Bartender - $40.00 per hour (2-hour minimum)
  • China Handling Service – $1.50 per person (includes China plates, glassware, and/or bar ware)

*Any events that run past the contracted end time will be charged a double rate*

PRICING

We reserve the right to adjust or change pricing based on location, seasonal availability, and current market price of products found in this catering guide. Once your contract is approved, your prices are guaranteed. Sales tax will be added to the bill for all non-Bridgewater events unless proof of exemption is provided, prior to the event. An 18% service fee will be charged to any event not sponsored by Bridgewater College.

PAYMENT ARRANGEMENTS

You will be invoiced within 7 days following the Event. Any additional costs incurred during the event will be billed within 7 days of the event and payment is expected 15 days after that. Payment address is located on each invoice.

TYPES OF SERVICE

Served/Plated

All courses are served at your table. Depending on the time constraints of your event, the salad and/or dessert courses can be pre-set. Pricing is based on a single-menu entrée selection. This will require additional wait staff and culinary staff (see pricing rates). Additionally, this would include a china handling service charge of $1.50 per person.

Buffet

This style of service offers a variety of menu choices. Quantities of food prepared will adequately serve the number of guaranteed guests. This, however, does not imply all-you-can-eat. A buffet is suggested when the following may occur: guests arriving at different times; physical layout of the room; mixed crowd requiring a varied menu; lack of facilities to serve formally or a more informal style of event. Depending on the size of the event and/or size of buffet, additional servers and/or culinary staff may be required (see pricing rates).

Delivery set-up/pick-up

Deliveries made on campus with a set-up required. Please pre-arrange beverage and/or food tables with Campus Event Coordinators. We will set-up approximately 15-30 minutes before your event is to begin unless instructed otherwise. If you need the event picked up promptly at the ending time, please be sure to indicate that when you arrange for catering service. Pricing includes the pick-up of all equipment. All equipment is the sole property of Dining Services and must be secured by the customer until picked up by our staff. Any equipment not returned or returned damaged will be charged full replacement cost.

Pick-up service

Carry out service can be arranged for items you may wish to pick up from Dining Services. You are responsible for the prompt return of any equipment that has been used at your event. Your account will be charged for any equipment that has been damaged or is not returned within 2 business days.

LINEN AND SKIRTING

All prices for meals and receptions include standard linen service for all food tables. Additional linen and skirting are priced accordingly upon request. Please request linens within 7 days of your scheduled event.

FOOD SAFETY

Parkhurst Dining Services at Bridgewater College takes exceptional care to follow recommended proper food handling procedures in the best interests of our clients and guests to help reduce the risk of food-borne illness. These, and other guidelines, have been put in place to help protect you and the College from the risks of food-borne illness. Catering employees obtain Food Handler Safety and/or ServeSafe certification, as well as AllerTrain to assist with potential food allergies. All bartenders obtain TIPS certification. Clients or guests will not knowingly be permitted to take any leftover food from events.

NOTES

  • The Catering Department reserves the right to substitute items based on product availability. We will make every attempt to inform you of this change as far in advance as possible.
  • Please discuss with the Catering Director any special dietary requirements while planning your menu.
